How to Build a Verified B2B Contact List in Canada

A step-by-step method for building a B2B prospect database in Canada: ICP definition, public sources, CASL evidence logging, role checks and email verification.

By Alisher Daurov · · 9 min read

Your list is the single biggest driver of cold email results. A mediocre message to the right decision-maker beats a brilliant message to the wrong one. Here is the process we use to build verified, CASL-aware B2B databases for Canadian companies.

1. Define the ideal customer profile (ICP)

Write down industry, region, company size, and the job titles that sign off on your service. For a commercial snow-removal contractor in the GTA, that might be: property management firms, condo corporations and retail plazas in Toronto, Peel, York and Durham; titles such as property manager, facilities manager and director of operations.

2. Size the market before you build

Statistics Canada's business counts help estimate how many companies exist in a sector and region (Statistics Canada, n.d.). If your ICP has only 400 companies in Ontario, a 10,000-contact database would need to widen the region or add adjacent industries.

3. Collect from public, business-controlled sources

For CASL's conspicuous publication exception, addresses should come from sources the business published itself: company websites, official association directories, government registries and professional profiles controlled by the person (CRTC, n.d.). Record the exact URL and date for each contact.

4. Check role relevance

CASL requires that the message be relevant to the recipient's business role (Canada's Anti-Spam Legislation, 2010, s. 10(9)). Remove contacts whose role does not match the offer, and exclude any address published next to a "no unsolicited emails" notice.

5. Verify every email

Run each address through an email verification service, which checks syntax, domain and mailbox existence. Remove invalid addresses and treat "catch-all" domains carefully. Our delivery standard is under 3% hard bounces; above that, we replace contacts free.

6. Enrich and segment

Add company size, city, website and phone, then score each record A/B/C by fit. Segmenting lets you write different openers for property managers versus plaza owners, which is where reply rates are won.

7. Refresh regularly

B2B data decays as people change jobs. Re-verify lists older than three months before sending and refresh the database at least quarterly.
